POSITION PURPOSE

The Office Assistant will come with interest in administration and will take pride in working for a mission-based company like Sustainalytics. He/she will provide a wide range of facility and administrative support functions including office management and basic financial administration for Sustainalytics’ operations in Frankfurt. We are looking for a professional, flexible, and energetic team player who is able to work independently, shows initiative and is attentive to details. The ideal candidate is able to set priorities, has great communication skills, remains calm under pressure and possesses strong organisational skills.

Being a part-time position, Office Assistant role is a great opportunity for those re-entering the workspace after a pause in their career. We will gladly welcome applications from such candidates.

KEY RESPONSIBILITIES

  • Perform general administrative office tasks such as facility management (including renovations), meeting coordination, mail processing;
  • Organize staff engagement sessions and events, staff outings and proactively ensure a good inter-team collaboration;
  • Supervise timely maintenance and replacement of the company’s fixed assets and office supplies;
  • Effectively liaise with external parties (landlords, suppliers, security, clients, visitors, etc.);
  • Ensure follow-through for various administrative tasks such as correspondence, approvals, organizing payments, sending invoices and contracts, executing purchases, etc.;
  • Perform minor financial administration with regard to the office petty cash, company credit card payments and their reconciliation;
  • Timely and accurately process employees’ travel bookings and administration around it;
  • Actively play a key role in maintaining a sustainable office environment;
  • Contribute to a safe, positive, productive and enjoyable office environment;
  • Anticipation of and response to office needs as they emerge, liaising with national and international offices, primarily the Amsterdam office.

QUALIFICATIONS

  • Experience in the field of (office) administration;
  • Excellent German and English language (written and oral) skills are a must; working language is English;
  • Completed vocational training (known as “abgeschlossene Berufsausbildung” in Germany);
  • Proficiency in Microsoft Office; advanced Excel skills is considered an asset;
  • Strong organizational skills;
  • Pro-active, problem solving and can-do attitude;
  • Excellent interpersonal and communication skills;
  • Meticulousness and attention to details;
  • Tactful, diplomatic and possess the ability to communicate with individuals at all levels of an organization;
  • Flexibility and adaptability;
  • Independent, resourceful self-starter;
  • Alignment with Sustainalytics’ mission vision and values;
  • Demonstrated passion for sustainability.
